It was great sharing ideas last night. My phone connection was a little fuzzy at times, so I just wanted some clarification about the "opportunity draw". There has been some talk about getting a "big ticket item", like jewelry or a car. Legal team, help with this.
If we are charging for a ticket - it is a raffle, correct? I am assuming that MMP is registered with the attorney general’s Registry of Charitable Trusts. Does this need to be done again before this year's event? If I am reading this correctly according to the oag.ca.gov website, MMP must file financial disclosure reports on each raffle event.
Silent auction - I am all for this - if we can get items. From my limited experience with past events, how would we work the "cut off time for bids"? Immediately before the race? If it is open for non-runner/walker participants to peruse while the run is on, it may generate more income. However, that would make it sloppy to tally bids and to notify the winners of the items. In order for this to be "do-able" with a lot of items, we would have to have a firm like Auction Tracker on site to run the credit cards, etc. My major concern is, after the excitement of the race, people may forget that they bid and not collect/pay for the items. We could take a credit card imprint at the time of registration to pay for the item - asking them if they plan on bidding - to make check out easier. Also, we would need an Auction Handbook, listing the description of the items and any restrictions.
What is popular these days and takes the stress out of the auction is doing a "Re-Gift for a Cause" online auction - creating a Facebook page "MMP Walk" for example. To solicit items, we can do an email blast "Love the giver, Don't love the gift?" - asking people to donate new or gently used items for the auction. Many times, this will generate nice items, designer bags, shoes, jewelry that is just gathering dust. I am sure that if we all went through our closets, we find stuff! Great idea Bobbie about doing a wine themed basket! Make sure the restriction is limited to bidders 21 and over.
How this would work, we create a FB page- we list the items, with the descriptions, FMV, etc. A cut off date/time is established. Participants are instructed to leave their email in the comments section with the bid increase. At the end of the auction, they are contacted for their credit card information and the item can be shipped/or picked up. (shipping fees would need to be established so that it could be included in the description if the winner does not want to pick up). What is fantastic about using FB is that everyone can share an item to their circle of friends and so on, it's not just limited to a particular data base or local geographic area. More people become aware of MMP and the walk.
Items we discussed for in kind: Ride along with LAPD, Dinner with the Fire station, Lunch with an attorney. Does anyone know anyone that teaches a class? Certificates for in home cooking, wine tasting, etc. are always good. If you have a good rapport with a hairstylist those are great! Whoever knew the dentist - a certificate for teeth whitening is a great item. Let the donors know that not only are they doing good for a great cause, it's a fantastic way to generate new clients.
